Privacy Policy

This Privacy Policy explains how Oak Vine Partners, LLC ("we," "us") collects, uses, and shares information in connection with OakVine Connect (the "Service"), a connector between an AI assistant (Anthropic's Claude) and your GoHighLevel ("GHL") sub-account(s).

1. Roles

For the personal data of your contacts stored in your GHL, you are the data controller and we act as your processor — we handle that data only to provide the Service at your direction, and we do not own, sell, or independently use it. For your own account data, we act as controller.

2. Information we collect

• Account data: name, email, password (hashed), and authentication metadata.
• Billing data: subscription and payment status. Card details are handled by Stripe; we do not store full card numbers.
• Connection credentials: the GHL location ID(s) and Private Integration Token(s) (PIT) you provide. PITs are encrypted at rest and used only to make GHL API calls you or your AI assistant initiate.
• Usage and log data: timestamps, tool/endpoint called, connector activity, IP address, and error diagnostics, used to operate, secure, and debug the Service.
• Contact/CRM data (as processor): when you or your AI assistant read or write data in your GHL through the Service, that data passes through our systems to fulfill the request. We do not retain your contacts' data beyond what is needed to complete requests and provide logging.

3. How we use information

• To provide, maintain, and secure the Service and fulfill your requests to GHL.
• To process subscriptions and payments (via Stripe).
• To provide support, send service and security notices, and prevent abuse/fraud.
• To comply with law and enforce our Terms.

We do not sell your personal information, and we do not use your contacts' data for our own marketing.

4. AI processing

When you use the Service with an AI assistant, the content of your requests and relevant GHL data is transmitted to the AI provider (Anthropic) to generate responses/actions, subject to Anthropic's terms and privacy commitments. You control what you ask the assistant to do.

5. Sharing and subprocessors

We share information only with providers that help us run the Service, under contract, including:

• Anthropic (AI processing),
• Stripe (payments),
• GoHighLevel (the API calls you direct),
• our hosting/database and infrastructure providers.

We may also disclose information to comply with law, enforce our Terms, or protect rights and safety. If we undergo a merger or acquisition, information may transfer as part of that transaction.

6. Retention

We retain account and billing data while your account is active and as required for legal, tax, and audit purposes. We retain your credentials until you remove the connection or your subscription ends, after which we delete or de-identify them within a reasonable period. Logs are retained for a limited operational window.

7. Security

We use reasonable technical and organizational measures, including encryption of PITs at rest, transport encryption (HTTPS), access controls, and a server-side confirmation gate for outbound actions. No method of storage or transmission is 100% secure; we cannot guarantee absolute security.

8. Your rights

Depending on your location (e.g., CCPA/CPRA, GDPR), you may have rights to access, correct, delete, or port your personal data, and to object to or restrict certain processing. Requests from your contacts (data subjects) should generally go to you as the controller; we will assist you as your processor. 9. International users

The Service is operated from the United States. If you use it from outside the U.S., you consent to processing in the U.S.

10. Children

The Service is not directed to children under 16, and we do not knowingly collect their data.

11. Changes

We may update this Policy; material changes will be posted at https://connect.oakvinepartners.com and/or emailed.
